Communications Committee Meeting

Minutes/Notes

 

Meeting was called to order at 7pm

 

Present:  Sue Studz (chair), Leroy Baker, Linda Leetch, Tim Henneman

Excused:  Char Ohnstad, Christine Molling

Guest:  Steve Webber (new volunteer)

 

New volunteer introduced: Steve Webber, Kahl Road, responded to the call for volunteers in the September newsletter.  With a background in printing and publishing, Steve is interested in helping with the website.

 

August minutes were approved unchanged (Baker/Leetch) 3-0 (Henneman abstain).

 

Comments re September newsletter: Henneman reported positive comments received about Berry’s newsletter.

 

Articles planned for the October newsletter include:

·        Partisan primary results (Berry voting rate; how we voted) - Brenda

·        Budget  hearing and meeting October (27?), residents rights/responsibilities re Town budget meeting  - Leroy

·        Roads article (Linda’s article previously submitted reviewed by board)

o       Include Q&A re gravel on roads

·        Information about the process of discontinuing a Town road

o       Does Town initiate?  Do residents initiate? How many Town roads do we have?  How many are dead-end roads?

·        Town looking to select a town attorney

·        Driveway ordinance revised

·        Town Road names – process for changing and verifying - Sue

·        Selecting a name for the new Town park – Sue

o       Recommendations submitted from committee

o       Call for more suggestion from residents

o       Selection timeline

·        Election November 4 info – Leroy/Brenda

o       Contested races on the ballot and encouragement to visit the Town website to see the whole ballot when it is available, noting that computers are available at the libraries.

o       Voting hours

o       Registration requirements (ID necessary to register on site)

o       How to get an absentee ballot

·        Police calls since January (overview) - Linda

·        Good Neighbors & Bike Trail – Tim

·        Fire safety - Christine

 

Additionally, the following will be developed for future issues:

o       “My first job” – Mib’s Ewald’s son recalls working on the Voss farm (and was interviewed about it on Washington radio) – Linda

o       Well testing update - Tim

 

The newsletter publication policy was reviewed with the following recommendations for the board:

·  Include within the policy guidelines/review process for contributors submitting articles:   

o       Deadline to submit articles

o       Opportunity to review/respond to edits & deadline for response

o       Opportunity to request no edits, agree to edits, or agree to edited version run without contributor’s name.

o       No guarantee that articles contributed will run.

 

·   Board members are not to be exempt from having articles edited when necessary (misinformation will be corrected; opinion will be deleted or reworded to follow intent of the policy, articles may be pruned to fit space).

 

·    The following items be moved into the acceptable content list:

 

o       Social events open to all town residents including events sponsored by other governmental bodies

o       Discussion of working committees    

 

Town email addresses implementation: Leroy Baker sending addresses and information to board and committee members this weekend.

 

Website:.  Leroy Baker provided Steve Webber a CD containing several years worth of newsletters in word format.  Webber will select timeless articles for uploading to the web.  Web was created in Dreamweaver. Char Ohnstad and Steve Webber to confer as their schedules permit re Dreamweaver and uploading Town ordinances onto the site.

 

Discussion of Town Park communications/events was set over to the next meeting.

 

Next meeting date October 16, copy deadline is October 6

Decide who will edit the November newsletter (Sue returns late Tuesday, 11/4)
